As an administrator it is important to become familiar with the various setup and policy tables available off the shelf with SmartTrainTM.
Please see the SmartTrainTM End User Guide for more information on SmartTrainTM end user functions and how to maintain end user records once the system is configured.
Prior to configuring the SmartTrainTM system it is very important to meet with the key stakeholders of the SmartTrainTM application. You should discuss exactly what business requirements must be met in the system, who is responsible for these requirements, and the standards for the completed requirements.
This common practice is not only needed to configure the SmartTrainTM system successfully; but also helps Pilgrim customer’s to revisit their business processes and work to ensure that these processes are effective and efficient (continually improved to ensure processes use the least amount of resources).
Some important things to consider when implementing SmartTrainTM:
· It helps to start with one department and one position within that department. Identify all roles and training requirements needed for that position. Test these configurations using your different scenarios. Then you can pull the rest of your departmental positions, roles and requirements. Trying to do everything at one time causes proven delays in your implementation so keep it simple!
· How many other SmartSolve© systems will, or have already been implemented within your organization?
o If any other systems have already been implemented, obtain a copy of the Software Requirements Specification (configuration documentation) and refer to this documentation. Also collaborate with other SmartSolve© administrators on how these other SmartSolve© systems were configured.
· It is important when process mapping to try not to figure out “what” is going to go “where” in the SmartTrainTM system; but to make sure the business requirements are clearly illustrated.
· Departmental Training and Certification Requirements.
o Define the positions within the department (Business Entity).
o Start with one position and determine position course and document requirements for that position.
o Configure the course and document requirements in the system
o Create roles and align the requirements to the appropriate role(s).
§ Determine which requirements are universal (all employees must fulfill)
§ Determine which requirements are departmental (all employees in department must fulfill).
§ Determine which requirements are position specific (only employees assigned this position must fulfill).
§ Group all other requirements in the appropriate roles outside of universal, departmental, and position specific.
· Attach all appropriate roles to the position (i.e., departmental role, position specific role only).
· Create a person record for the position.
o Verify that all universal, departmental and position requirements have transferred from appropriate roles.
o Add all Ad hoc roles specific to the person and activate.
· Determine how self train and classroom training will be managed.
· Determine SmartTrainTM system user roles:
o Training Coordinators
o Trainers
o Person Managers
